Reasonable Adjustment Policy - Reax Training

1. Purpose

Reax is committed to ensuring that all learners and employees have equal access to our training programmes, facilities, and services. This policy outlines our approach to making reasonable adjustments to accommodate individuals with disabilities or other specific needs, in accordance with the Equality Act 2010 and other relevant legislation.

2. Scope

This policy applies to all learners, employees, and stakeholders involved with Reax, ensuring that reasonable adjustments are provided to support equal opportunities for participation and success.

3. Definition of Reasonable Adjustments

Reasonable adjustments are modifications made to the learning environment, assessment methods, or workplace practices to support individuals with disabilities, medical conditions, or other specific needs. Adjustments may include, but are not limited to:

  • Providing accessible training materials (e.g., large print, dyslexia-friendly fonts and formatting).
  • Adjusting assessment methods (e.g., extra time, alternative formats, verbal assessments for individuals with dyslexia.
  • Modifying physical environments where possible (e.g., wheelchair accessibility, ergonomic equipment).
  • Offering additional support (e.g., sign language interpreters, note-takers).
  • Flexible scheduling or remote learning options.

4. Identifying the Need for Adjustments

Reax Training encourages learners and employees to disclose any requirements for reasonable adjustments as early as possible. Needs can be identified through:

  • Enrolment or induction processes.
  • Self-disclosure by the individual.
  • Recommendations from medical professionals or relevant authorities.
  • Written request from the person making a booking.
  • Ongoing review and feedback mechanisms.

5. Implementing Adjustments

Upon receiving a request, Reax Training will:

  1. Conduct an assessment in collaboration with the individual to determine suitable adjustments.
  2. Consider the practicality, cost, and effectiveness of the proposed adjustment.
  3. Implement the adjustment in a timely manner while ensuring minimal disruption.
  4. Monitor and review adjustments periodically to ensure their effectiveness.

6. Reasonableness Criteria

An adjustment will be considered reasonable if it:

  • Effectively removes or reduces the disadvantage faced by the individual.
  • Does not compromise the integrity of training or assessment criteria.
  • Does not impose a disproportionate financial or administrative burden on Reax Training.
  • Maintains health and safety standards for all parties.

7. Confidentiality and Data Protection

All information related to reasonable adjustment requests will be handled confidentially and in compliance with GDPR regulations. Data will only be shared with relevant personnel on a need-to-know basis.

8. Complaints and Appeals

If an individual believes that a reasonable adjustment has not been adequately provided, they may raise the issue through Reax Training’s complaints procedure. Appeals regarding assessment adjustments can be made in accordance with the relevant awarding body’s guidelines.

9. Review and Updates

This policy will be reviewed annually or when significant changes in legislation or operational requirements occur to ensure continued compliance and effectiveness.
